What we collect when you contact us or work with us, why, and how long we keep it.
Who we are

What we collect
From the brief form and call bookings: your name, email, company, dates, budget and what you tell us about the film. From emails and calls: what you send us. From projects: contact details, invoices and the material you share for the film.
Why we use it
To reply to you, plan and make your film, and invoice for it. For enquiries, the legal basis is taking steps at your request before a contract. For projects, it is the contract. For our accounts, it is a legal obligation.
Who sees it
Our team, and the services we use to run the studio: Framer (this site and its form), our booking calendar (calls), Google Workspace (email and video calls) and our accountant. Each handles it under its own data protection terms. Some of these services store data outside the UK; where they do, it is protected by safeguards UK law approves. We never sell your data.
How long we keep it
Enquiries that do not become projects are deleted after twelve months. Project and invoice records are kept for six years, as UK tax law requires.
People in our films
If you appear in a film we make, we keep the footage and the release you signed, and use them to make and show the film as the release sets out. We keep raw footage for twelve months, and your release for as long as the film is shown. To ask about footage you appear in, email hello@halvane.studio.
Cookies
This site sets no advertising cookies. The booking calendar on Contact comes from our booking service, which may set its own cookies, for example to keep out bots. Films play from Vimeo or YouTube, which may set their own cookies when you press play.
Your rights
You can ask to see your data, correct it, delete it, limit how we use it, object to how we use it, or have a copy to take to another service. Email hello@halvane.studio and we will reply within one month. No decision about you is made by a computer alone. If you are unhappy with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk.
